How do I reduce no-shows at my salon or clinic?

By SmartDuke Technologies · Updated 14 October 2026

The short answer

Make it easy to keep or change the appointment: confirm when booked, send a reminder a day before, let people reschedule without calling, and keep a waiting list to fill gaps. Follow up kindly after a miss. In SmartDuke, confirmations go by email and you can set up a WhatsApp reminder automation with your approved template.

Why people miss appointments

Most no-shows are not rude. People forget, their plans change and calling to cancel feels awkward, or the booking was made weeks ago and never confirmed. Each of those has a fix. Forgetting is solved by a confirmation and a timely reminder. Awkwardness is solved by making it easy to reschedule or cancel without a phone call. Long gaps between booking and visit call for a reminder closer to the day. Knowing which reason applies to your customers tells you where to start, so ask a few of the people who missed.

A simple routine that works

You don't need anything fancy. A consistent routine, followed every time, does most of the work. Send reminders on the channel your customers actually read, which in India is usually WhatsApp, and make every reminder say how to change the time. A customer who can move their slot in a few seconds will usually do that instead of simply not turning up, which gives you a chance to offer the time to someone else. Write the steps down so everyone on the team follows them.

  1. Confirm every booking straight away with the date, time and address.
  2. Send a reminder a day before, with a way to reschedule.
  3. Let customers book, move or cancel online themselves.
  4. Keep a waiting list and offer freed slots quickly.
  5. Message people who missed, kindly, with a way to rebook.
  6. Note repeat no-shows and decide your policy for them.

Deposits and cancellation policies

For long or expensive appointments, a deposit or cancellation fee can reduce no-shows, but it adds friction for everyone else. If you use one, state it clearly when the customer books, apply it consistently, and give a fair cut-off such as 24 hours. Many small businesses do better with a lighter approach: reminders for everyone, and a deposit only for customers who have missed before. Whatever you choose, write it down and make sure your whole team explains it the same way.

How SmartDuke helps

Bookings in SmartDuke offers appointments from each staff member's working hours, and classes with places and waiting lists. Customers book in the customer app, signing in with an emailed code, or on your website, and get a confirmation email in your brand. For reminders, you set up an automation with fixed steps: when an appointment is coming up, send your Meta-approved WhatsApp reminder template. A second automation can start when someone misses an appointment and send a kind rebooking message, with Ask me before doing this switched on if you want to check each one.

Let customers rebook on WhatsApp

A reminder works better when replying to it actually changes something. With Duke on duty (Growth plan and above), customers who reply on WhatsApp can ask to move their appointment, and Duke can book, move or cancel that customer's own appointments in free times, if you tick Book their appointments. He never cancels or changes anything paid for; that goes to a person, as do messages with your hand-over words. You can start in Drafts mode, where Duke writes each reply and your team sends it.

Questions

Related questions

How far ahead should I send appointment reminders?

A day before suits most salons and clinics: close enough to be remembered, early enough to free the slot for someone else. For appointments booked weeks ahead, add a reminder a few days before as well. Avoid reminders so close to the time that a cancellation leaves a slot you can't fill.

Should reminders go by WhatsApp, SMS or email?

Use the channel your customers read. In India that is usually WhatsApp, where reminders must use a Meta-approved template sent from your business number. Email works well for confirmations and for customers who prefer it. SmartDuke sends emails and WhatsApp messages; it does not send SMS.

Does SmartDuke send no-show reminders automatically?

Not out of the box. You set it up once: an automation started when an appointment is coming up, which sends your approved WhatsApp template. After that it runs for every appointment without anyone remembering to do it. Booking confirmations by email are sent without any setup at all.

What should I say to someone who missed?

Keep it short and kind: you missed them, you hope everything is fine, and here is how to rebook. Don't open with a fee or a warning. Most people who miss once come back if rebooking is easy. Save firmer messages for repeat no-shows, and say them in person if you can.

Can a waiting list really fill cancelled slots?

Yes, if you act quickly. When a place frees up, offer it to the next person on the list straight away, ideally on WhatsApp where they will see it. SmartDuke's classes have places and waiting lists built in, so you always know who is waiting for a place.
