Tutoring centre management softwareStudents, fees and parents, kept on track by Duke.

Enquiries, trial classes, enrolments, the timetable, attendance and monthly fees in one place. Duke replies to parents on WhatsApp, follows up absent students and tells you whose fees are late.

Duke at your tutoring centre

Duke answers the parents so your tutors can teach.

He replies to parents on WhatsApp about grades, groups and fees, books free trial classes into your tutors' open times and saves each family as an enquiry. Absence notes, trial follow-ups and fee plans come to you as drafts, and nothing reaches a family until you approve.

Trial families invited back.

Families whose child tried a class but hasn't enrolled get a warm note about the group that fits their days. An agent writes them each morning; you send the ones you like.

Duke3 families came to a trial last week and haven't enrolled. I've written to each about a group on their free days.

The apps tutoring centres use

Set up in your centre's words: students and enrolments.

A tutoring centre starts with enquiries, enrolments, classes, attendance and fees, plus roles for counsellors, teachers and the front office. Add any other app when you need it.

Timetable

Small groups that never overbook.

Set up Grade 9 Math or SAT Reading once a week for the term in one go. Each class has its places and tutor, and a full class takes a waiting list.

  • When a place frees up, the first student waiting gets it
  • Attendance marked from the class list
  • Duke suggests another group when one keeps filling
A week of classes such as Grade 9-10 Math and French Immersion, with full classes and Duke's idea to add one

Enrolments

See who's due to re-enrol.

Monthly or term enrolments with their dates and fee. Active, ending soon and lapsed are worked out for you, and re-enrolling is one click.

  • Due to renew in 30 days, with the fees at stake
  • Students see their enrolment and book classes in your student app
Enrolments: 71 active students, due to renew and lapsed, with Renew buttons

Progress

Marks, targets and trends per student.

Progress reports, test results and homework are ready-made pages linked to each student, so a tutor can see the whole picture before a parent meeting.

  • A board of Improving, Steady and Slipping
  • Every report shows on the student's timeline
  • Duke can draft the summary for a parent meeting
Progress reports: subject, current mark, target and trend, grouped Improving, Steady and Slipping

Fees

Monthly fees, part payments, instalments.

Invoice each month's fee, record cash, card or bank transfers, and split a course fee into instalments. Overdue fees are flagged on the day.

  • A ready-made monthly fee reminder by email
  • Receipts for every payment
Fees: overdue invoices for monthly classes such as Math Grade 11-12

Ready-made pages

Programs, intakes, progress, homework.

Questions

Tutoring centre: common questions

How much does tutoring centre software cost?

SmartDuke costs ₹1,999 a month in India or $49 elsewhere for the whole centre, with up to 3 team members, one location and every business app included. Growth at ₹3,999 or $99 adds up to 10 team members, two branches and Duke replying to parents on WhatsApp on his own. India prices are before 18% GST.

Can I take attendance and follow up absent students?

Yes. SmartDuke records each student's attendance and shows who hasn't been in. Duke drafts a note to the parents of absent students from your own template for you to approve, and on WhatsApp it goes out from your own number. Every visit stays on the student's record for the next parent meeting.

Can it track monthly fees and instalments?

Yes. SmartDuke invoices each month's fee, records cash, card or bank transfer payments, and splits a course fee into instalments. Overdue fees are flagged on the day, and Duke tells you whose fees are late whenever you ask him, with reminders sent once you approve them.

Can I keep progress reports for each student?

Yes. SmartDuke tutoring centres start with ready-made pages for progress reports, test results and homework, linked to each student. A tutor sees marks, targets and trends in one place before a parent meeting, and you can change the fields or add your own pages by asking Duke.

Do classes stop at their seat limit?

Yes. In SmartDuke you set up a class, such as Grade 9 Math once a week, for the whole term in one go, with its tutor and number of places. When it's full, new students join a waiting list instead, so a class is never overbooked.

Can I try it before paying?

Yes. SmartDuke has free live demo businesses at smartduke.com/demos, with months of sample data and Duke switched on, and no sign-up needed. You can also set up your own business as a free draft. A draft that isn't published is deleted after 30 days, and you only pay when you publish.

Bring SmartDuke to your centre.

We set it up with your subjects, classes, fees, tutors and WhatsApp number, and import your student list. Tell us about your centre, or open the demo first.
