Duke, the AI teammate

Meet Duke, the teammate built into your business.

Duke is the AI teammate built into SmartDuke. He works inside your apps as the person he’s helping, gets the day’s work ready and answers your customers. Nothing goes out without your say-so.

01 · Every morning

He reads your business before you do.

Open the app and Home has Duke’s read of the day: what needs you, each with the next step prepared, and today’s numbers against the same day last week. Insights add the money at stake, so you know what to do first.

  • Needs you: customers who asked for a person, drafts to send, renewals and overdue invoices
  • Today so far, with seven days of trend
  • Facts from your own apps. Without the AI, you still see the facts

02 · Day and night

Your customers get an answer at 11 pm.

Put Duke on duty on your WhatsApp number. He answers from what you’ve told him and your price list, books appointments from your free times, saves the customer’s details and fills in the pages you choose, like an intake form. When your chosen words come up, or he isn’t sure, he hands over to a person.

  • Starts on drafts: your team sends each reply with one tap, until you let him answer on his own
  • Quiet hours: he only drafts, and sends your note once a night
  • Only ever about the customer in the conversation
  • Money, cancelling paid things, deletes, exports and bulk or outbound messages always need a person

03 · Your goals

Give him a number. He works towards it.

Say what you want, like 40 free trials by 19 October. Duke drafts two to five steps from your own numbers; you keep the ones you like and approve. Each step runs as a job, and every morning he measures the pace and tells you honestly how it’s going.

  • “Ask me every time”, or let your own templates go out on their own
  • A forecast, not just a progress bar
  • Behind? A suggestion, at most every three days

04 · Jobs in plain words

Describe a job. He does it on schedule.

Write it the way you’d brief a new colleague: “Every Monday, find members who haven’t been in for two weeks and draft a warm note.” Pick the tools and when it runs. Duke works as you, never with more access, and you come back to a short list to approve.

  • Changes, and messages Duke writes, wait for your approval
  • Opt in to let your own approved templates go out, up to a limit per run
  • Test runs keep nothing and send nothing

05 · Builds what’s missing

Missing a page? Ask for it.

Tell Duke what you want to keep track of. He makes the page, its fields and the link to your customers, and puts it in your menu, after showing you what he’ll do. Your own records, without code or dragging boxes around.

  • Text, numbers, money, dates, choices, people, links and more
  • Roles decide who sees each page
  • On WhatsApp, Duke can fill it in from what the customer says

06 · Ask anything

Ask a question. Get the work prepared.

Ask from any page, in plain words. Duke knows the page you’re on, answers from your data and your documents, and drafts the follow-ups, tasks and messages. He reads only what you’re allowed to read.

  • “Who hasn’t come in for 14 days?”
  • Answers from your files, naming the document and page
  • Reading needs no approval. Every change does

How Duke stays safe

Duke asks first. You stay in charge.

Duke can do a lot, so the rules are strict. They’re built into the product, the same for every business, and you can check every step.

1

You approve first

Every change starts as a one-sentence preview, worked out on your real data. Only the person who asked can approve it.

2

He works as the person he helps

Duke has no access of his own. Every step is checked against that person’s role, so he never sees or does more than they can.

3

Every step is on record

The audit log shows what Duke changed and who approved it, to the minute.

4

Some things always need a person

Money, cancelling anything paid for, deletes, data exports, settings, and bulk or outbound messages.

5

Messages can’t give him new powers

What customers write and what’s in your documents is treated as information, never as instructions.

6

Your data stays yours

Each business’s data is kept apart, down to the database. Export all of it as one ZIP, and bring your own AI key if you like.

Questions

About Duke

Is Duke a chatbot?

No. You can chat with him, but Duke works inside the app itself: he reads your customers, bookings and invoices with your permissions, prepares the work, runs jobs on a schedule, works towards your goals and answers customers on WhatsApp. What he prepares lands in Needs you on Home, waiting for your yes.

Can Duke send messages on his own?

Only in two cases you switch on yourself. On WhatsApp, Duke on duty can reply to customers who wrote to you first, once you move it from drafts (where everyone starts) to on its own. And an AI agent can send messages that are entirely your own approved templates, with no words from the AI, up to a limit you set per run. Everything else Duke writes waits for you, and outbound or bulk messages always need a person.

What does Duke cost?

Duke the assistant is in every plan; Duke on duty, goals and AI agents come with the Growth and Pro plans. Your plan includes AI credits every month: one credit is one cent of AI cost, and a short question is about one credit. Settings shows what was used, by feature and by person. Or connect your own OpenAI or Anthropic key: calls on your key don’t use credits. At the limit Duke tells you, and on WhatsApp he goes back to drafts instead of going silent.

Which AI models does Duke use?

Duke runs through our own AI gateway, which works with OpenAI and Anthropic models today and records the cost of every call. We choose a sensible default; with your own key you can choose the model yourself.

What if Duke gets something wrong?

You stay in charge. Every change shows a one-sentence preview, worked out on your real data, before you approve it. On WhatsApp Duke answers only from what you’ve told him, never makes up a price, and hands over when he isn’t sure. Every step is in the audit log, so you can always see what happened and who approved it.

Can we give Duke our own name?

Yes. Your assistant can carry your own name, set with your brand. On WhatsApp, customers are told they’re talking with your business’s assistant, and can ask for a person at any time.
