How do I send membership renewal reminders on WhatsApp?

By SmartDuke Technologies · Updated 14 October 2026

The short answer

Use the official WhatsApp Business Platform with your own number, get a reminder template approved by Meta, and send it a few days before each membership ends, with the member's name, plan and end date filled in. In SmartDuke, Memberships shows who is expiring and an automation or Duke sends your approved template, after you approve.

Why WhatsApp needs an approved template

WhatsApp has one rule that shapes every reminder. You can write freely to a customer only within 24 hours of their last message to you. To start a conversation, which is what a renewal reminder usually is, you must send a template that Meta has approved in advance. A template is a fixed message with gaps for the details that change, such as the member's name, plan and end date. Meta charges per template conversation and bills the business directly. Sending reminders by hand from a personal WhatsApp app works for a few members, but it breaks down quickly, mixes personal and business chats, and leaves no record of who was reminded.

Write a reminder template that gets approved

Keep the message short, friendly and clearly about the member's own membership. Meta reviews every template, and most are checked within minutes. A plain update or reminder is treated differently from an offer, and offers cost more to send, so keep discounts out of your reminder unless you mean it to be a promotion. When you submit it, give an example for each placeholder so the reviewer can see what a real message looks like. If Meta rejects it, it tells you why, and you can fix the wording and submit again.

  1. Greet the member by first name.
  2. Say which plan ends and on what date.
  3. Tell them how to renew in one line.
  4. Avoid starting or ending the message with a placeholder.
  5. Submit it to Meta with an example value for each placeholder.

Choose when to send

One reminder a week before the end date, and a second one a day or two before, suits most gyms, studios and clubs. Members who have already lapsed need a different, gentler note, not the same reminder again. Whatever schedule you choose, make sure a member who renews early stops getting reminders. That is the main reason to send from your membership records rather than from a list you keep separately: the list goes out of date the moment someone pays at the front desk.

How SmartDuke does it

SmartDuke connects your own number through Meta's official Cloud API. Memberships works out who is expiring, lapsed or upcoming. Message templates hold your reminder with placeholders like {{first_name}}, {{plan}} and {{ends_on}}, and a message never goes out with a blank. You can send reminders in two ways, and each message is kept on the member's timeline. Duke can also tell you, in plain words, how many members are expiring this week and who has already lapsed, so you know who needs a reminder before you send anything.

  1. Connect your WhatsApp number in Settings.
  2. Write the reminder in Message templates and send it to WhatsApp for approval.
  3. Switch on an automation with fixed steps, started when a membership is about to end, that sends the approved template.
  4. Or ask Duke to draft reminders for everyone expiring this week, and approve them.
  5. Read replies on each member's page, where you can answer freely for 24 hours.

Letting reminders go out on their own

Every message Duke prepares waits for your approval by default. If you trust a reminder completely, an AI agent can send it without asking each time, under an opt-in standing approval: only messages that are entirely one of your own templates, filled in with the member's details, and only up to the limit per run you set. Anything Duke writes in his own words still waits for a person. You can switch this off at any time, and every message sent is in the audit log.

Questions

Related questions

Can I send renewal reminders from the normal WhatsApp app?

You can, one by one, but it does not scale and there is no record of who was reminded. The WhatsApp Business Platform lets software send approved templates from your business number, keeps the replies with the customer's record, and shows sent, delivered and read ticks for each message.

Does Meta charge for renewal reminders?

Yes. Meta charges per template conversation it delivers and bills the business directly, separately from any software you use. Reminders and updates cost less than offers and promotions. Replies you send within 24 hours of a customer's message are free. Check Meta's current rates for your country before you plan a large send.

What happens if a placeholder like the end date is missing?

In SmartDuke, the message is not sent. If a placeholder has no value, SmartDuke asks you for it or refuses to send, so a member never receives a reminder with a gap where the date should be. Fix the membership record or type the value, then send it again.

Will a member who already renewed still get a reminder?

Not if the reminder is driven by the membership itself. When a membership is renewed in SmartDuke, it is no longer about to end, so the automation does not start for it. This is the main advantage over sending from a spreadsheet, which only changes when someone remembers to update it.

Can I try this before connecting my own number?

Yes. The free live demos at smartduke.com/demos include a fitness business with memberships, templates and renewal reminders waiting for approval, and you need no sign-up. In the demos, messages are recorded as sent but never leave the server, so you can try everything safely.
