Data export and erasing a person

Download all your business data as one ZIP file, and erase a person's data when they ask you to.

Your data is yours. You can download all of it whenever you like, and erase a person's personal data when they ask you to.

Export all your data

  1. Go to Settings → Security and data and choose Export your data.
  2. Click Export all data.
  3. SmartDuke makes the export in the background. You'll see it in the list as Waiting to start, then Being made…, then Ready. We also email you when it's ready.
  4. Click Download.

The ZIP file contains every record as JSON files (a common data format most tools can read): your business, your team, and every table of business data.

  • Downloads are kept for 7 days, then deleted. Make a new export any time.
  • One export runs at a time.
  • Secrets such as keys and passwords are never included.
  • Stored files (such as your logo) aren't in the ZIP yet.

You need permission to export data; owners have it. Exports are recorded in the audit log.

Erase a person's data

When a customer asks you to delete their data:

  1. Open the customer in Contacts.
  2. Go to the Details tab and find the Remove area.
  3. Click Erase data.
  4. Read what will happen, type ERASE to confirm, and click Erase their data.

What happens:

  • Their name becomes “Erased person”, and their email, phone, job, source and company are cleared.
  • Their notes, activities, tags and custom fields are removed, and records about them on custom pages are deleted.
  • Their messages, tickets, appointment notes and membership notes are blanked. Dates, amounts and statuses stay as anonymous records, so your numbers still add up.
  • Their values are blanked in the audit log and timeline too, keeping only who did what and when.
  • If they use the customer app, they're signed out.

Erasing is different from deleting: deleting removes the contact; erasing blanks their personal data everywhere and keeps the history.
