Imports: bring records in from a spreadsheet

Import contacts, members with their memberships, or products from a CSV file: match the columns, check the first rows, import.

On this page

Imports bring the records you already have into SmartDuke from a spreadsheet. You match the columns, check a preview, and SmartDuke imports the rest in the background.

What you can import

ImportWhat each row isMust have
ContactsA person: name, email, phone, source, job title, tagsA name
Members with their membershipsOne membership: the person, the plan, start and end, what they paidPlan (matching a plan's name) and start date
ProductsA product: name, SKU, category, price, tax, unit, stock, reorder levelName

You only see the imports your role allows.

Import a file

  1. Save your spreadsheet as CSV (in Excel: File → Save as → CSV).
  2. Go to Settings → Security and data and choose Import.
  3. Under What are you importing?, pick the type. Click Download a template if you want a file with the right columns.
  4. Click Choose a CSV file.
  5. Under Match the columns, choose the column for each field, or — Not in the file. Tell SmartDuke how Dates are written (day first, month first or year first).
  6. Click Check the first rows. SmartDuke tries the first 20 rows without saving anything and labels each one New, Added to existing, Already there or Problem.
  7. If it looks right, click Import with the number of rows.

The import runs in the background. The results page shows how many rows were New, Added to existing, Already there and With problems, and lists the rows that weren't imported with the reason.

Limits

  • CSV files only (not .xlsx), up to 2 MB and 10,000 rows. Split bigger files.
  • Contacts whose email is already in SmartDuke are skipped. For memberships, people already in your contacts get the membership added.
  • Product categories that don't exist yet are created. Tags must already exist unless your role can add tags.
  • Custom fields aren't imported today.
