Memberships: plans, selling and renewals

Create membership plans, sell a membership, see who is ending soon, renew and cancel.

On this page

Memberships keeps track of what each member has bought and for how long. SmartDuke works out who is active, ending soon, starting or lapsed from the dates, so there's nothing to update by hand.

Create a plan

A plan is a length of time and a price, for example “Gold, 1 month”.

  1. Open Memberships and click Plans (or go to Settings and choose Membership plans).
  2. Under Add a plan, enter the Name, the Length with months or days, and the Price.
  3. Click Add plan.

Changing a plan never changes memberships already sold. To stop selling a plan, untick Offered. Members keep what they bought. Plans can't be deleted.

Sell a membership

  1. Open Memberships and click Sell a membership.
  2. Under Member, search for the person by name, phone or email. If they aren't there yet, add them first from your contacts.
  3. Choose the Plan.
  4. Pick when it Starts on. Leave it empty to start today.
  5. Add Notes if you like and click Sell membership.

The plan's price is copied onto the membership when you sell it.

See who needs attention

The memberships page with active members, renewals due and the Ending soon list
Pulse Fitness Studio demo: memberships ending soon

At the top of Memberships you'll see Active members, Sold this month, Due to renew, 30 days and Lapsed, last 30 days.

The list has five tabs:

TabWho is in it
Ending soonMemberships ending in the next 30 days, split into This week and Later this month
ActiveEveryone with a membership running today
StartingMemberships that start in the future
LapsedMemberships whose end date has passed and weren't renewed
CancelledMemberships you cancelled

Both the first and the last day count. A one-month membership starting 29 September ends on 28 October.

Renew a membership

  1. Find the membership and click Renew.
  2. Confirm with Renew.

The new membership starts the day after the current one ends (or today, if it has already ended), on the same plan. Each membership can be renewed once; a cancelled one can't be renewed, so sell a new one instead.

When memberships end this week and no reminder automation is on, the page offers Prepare reminders. If the Renewal reminder automation is on, it tells you so and links to it.

Cancel a membership

  1. Click Cancel on the membership.
  2. Add a reason if you like (for example “Moved city”) and click Cancel membership.

Good to know

  • Memberships don't create invoices automatically. Bill members in Invoicing.
  • Freezing or pausing a membership isn't available today.
  • Automations can start when A membership is about to end (choose how many days before), A membership is renewed or A membership is cancelled.
